Privacy of personal data
 

We invite you to read this Data Protection Policy before using our web solutions and/or our application. This policy defines the way Egis data & solutions uses and protects the information transmitted when you use the services of the web suite https://www.sgti4.fr or its mobile application SGTi4inSitu.
As part of the management and operation of the services and in its capacity as data controller under the French Data Protection Act of 6 January 1978, as amended, Egis data & solutions may collect personal data from users.


In order to protect the privacy of its users, Egis data & solutions takes all necessary measures to ensure the confidentiality and security of their personal data.
Therefore, the purpose of this Privacy and Data Protection Policy is to explain how personal data is processed in accordance with the principles of the General Data Protection Regulation ("GDPR") which came into force on 25 May 2018.
In general, the collection and processing of personal data on our sites (www.sgti4.fr ; www.sgti4.com ) or on the app (SGTi4inSitu) are carried out in accordance with the applicable international and national legislation on personal data protection, including Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation). The user has the right to access, rectify and delete information concerning him/her by writing to the contact address below.

Legal framework of data collection


Egis data & solutions is likely to collect personal data on the basis of:

  • the prior consent of the person concerned; as our solutions and activities are exclusively implemented between professionals, collections are made following prior information. With regard to commercial solicitations, the consent of the person is obtained through a contact form with the possibility of unsubscribing.

  • the execution of obligations under a contract; the collection of certain personal data of our customers and users is necessary within the framework of the execution of the terms of our contracts and the supply of the subscribed services of which the technical and functional assistance, the training or the invoicing of the services.

  • the legitimate interest of the data controller; as part of the development of our business, Egis data & solutions may propose commercial offers on its own behalf. In certain circumstances (professional directories, targeted contacts), the nature of the service provided implies the collection of personal data of its customers and users (professional directories, targeted contacts). The interest of the person concerned or the respect of his/her rights and freedoms are of course regularly evaluated and in all cases, he/she can object to this type of use.

1. Collection by form

​Accessing, using or requesting our technical or commercial support services requires the collection of personal data concerning the service user or the prospect to be contacted. In this context, the data is collected when filling in the digital forms available on the various sites (contact information, request for demonstration or documentation, request for assistance).

The term "cookies" is to be understood in the broadest sense: all traces deposited and/or read, for example, when consulting a website, reading an e-mail, installing or using a software or a mobile application.

3. Collection by telephone

Egis data & solutions provides part of its service by telephone and may on these occasions collect personal data in order to identify a malfunction.
As far as possible, the telephone appointment: formulation of the request and resolution steps are traced within our helpdesk and confirmed by the sending of an e-mail allowing the optimization of the request follow-up and the user concerned to keep a written trace of the assistance and to be able to exercise his/her rights at any time.


Nature of the personal data collected

Some of the information collected by Egis data & solutions constitutes "Personal Data", i.e. data concerning individuals that can be used to identify them.
Egis data & solutions collects data according to a principle of minimisation, i.e. only the data necessary for the use of our services are concerned. The persons concerned have the full capacity to exercise their rights.
The personal data that may be requested, depending on the nature of the services or products provided, are mainly the following:

â–¬ Data related to the commercial or contractual relationship: requests for documentation, subscribed service or subscription, amount, history of purchase orders and invoices, correspondence with the customer and the after-sales service


Note:
â–¬ So-called sensitive data: no data such as racial or ethnic data, sexual orientation, disability, religious or philosophical beliefs, political opinions, genetic information or biometric data are collected on our various services.
â–¬ Data relating to minors: do not concern the use of our solutions since Egis data & solution's activities are only aimed at professionals able to subscribe to contractual obligations.

Processing and usage objectives for Egis data & solutions

 

The personal data used and in the possession of Egis data & solutions are mainly used for the use of the various services provided or to fulfil its technical, functional and contractual support obligations. Egis data & solutions does not share, sell, rent or otherwise make available to third parties the user's personal information. If required by law, Egis data & solutions reserves the right to disclose and transmit information when such disclosure is necessary to comply with a judicial proceeding, an injunction or a legal process.
All the processing we carry out requires appropriate and justified data collection. Therefore, we ensure that we only collect and use data that is adequate, relevant, limited and necessary for the purposes for which it is processed.
The processing and purposes are defined below:

  • Recording of data on the sites or information systems specific to the management of the follow-up, delivery and invoicing of services and administrative follow-up

  • Use of data in order to be able to execute obligations and terms of contracts

  • Application and information systems to manage the delivery and billing of services

  • Use of data for the purpose of sending newsletters on the news and references of the services used

  • Use of data for the purpose of managing customer relations and measuring customer satisfaction

  • Use of data in the context of its commercial prospecting activities.

Location and duration of data retention
 

Egis data & solutions takes into account the recommendations of the French Data Protection Authority (Commission Nationale Informatique et Liberté) when managing its data and preserving the security and confidentiality of personal data, in particular by preventing them from being distorted, damaged or accessed by unauthorized third parties.

Location of data

The personal data of users of Egis data & solutions' sites or services are hosted in secure conditions with a guaranteed disaster recovery plan within a secure infrastructure located in the European Union.


Data retention period

The duration of data retention for our services depends directly on the duration of the contract or the commercial relationship implemented.
For data created and managed on our web services or our application, the maximum retention period is 10 years after the end of the service. Each operation of deletion of data if it had to intervene upstream is the subject of a written request to the identified contact.
Rights of opposition, rectification, deletion and right to be forgotten
In order to comply with the requirements of the European Data Protection Regulation and to provide all useful information to users of the sites and applications published by Egis data & solutions, an e-mail address is provided for all requests relating to the exercise of our users' rights (access, opposition, rectification, deletion of data and right to be forgotten).
